Duties

Provide high-level administrative, logistical, and technical support for the daily operations of the Office of Academic Affairs (OAA) while utilizing advanced learning and administrative management systems to further advance the School's innovation efforts. The successful candidate will be primarily responsible for the planning and scheduling of all course lectures, clinical rotations and seminars. He/she will work closely with the IT department, course and clinical directors to establish successful partnerships that support the overall school needs. This individual will also serve as the institutional registrar and as the primary OAA liaison with the Office of the University Registrar. Additional responsibilities include managing room scheduling reservations, administering the PDM elective education program and the course/clinic and faculty evaluation system. The candidate must be detail-oriented, possess excellent organizational and communication skills (verbal and written), have significant experience with data entry, analysis and management, effectively multi-task, and be self-motivated with the ability to meet strict deadlines. Expertise with Microsoft Office, particularly with design of Excel macros, proficiency with Adobe Suite and experience with multiple educational technology platforms and databases is required. Must possess the ability to identify, understand, and solve diverse problems.Administer Selective education program, including accurate, timely and precise tracking of student attendance & grades management & submissions. Apply and interpret academic policies and procedures as related to student records & promptly escalate, evaluate and monitor trends and student issues through daily, monthly & quarterly reports, analytics & presentations to OAA teams, dept. chair, & various Univ. stakeholders & customers. Administer course/clinic & faculty evaluation system in Student Records System, register students, serve as primary liaison to Univ. Registrar. Responsible for accurate academic & degree record to support OAA teams & timely customer service. Proficiently utilize Microsoft Office Suite, particularly with design of Excel macros, formulas, tables and advanced features & analytics as well as Adobe Suite, Canvas, Panopto & diverse edu. tech. platforms & databases. Plan, coordinate & schedule all course lectures, clinic & lab. sessions, clinic rotations, & seminars. Efficiently & accurately manage room reservation system with urgency & timeliness. Coordinate admin. responsibilities by efficiently managing resources, demonstrating consistent service orientation, taking initiative, & modeling clear communication & adaptability with depart. chair, faculty, staff & assoc. stakeholders. Coordinate & manage conferences, events, & programs. Provide support, guidance & one-on-one direction customer service for various edu. platforms including Scheduling Manager, axiUm, Selectives Database, ExamSoft, Canvas & Panopto. Serve as first line support for OAA software, applications, & online platforms in partnership with IT & PDM depts. Provide state of the art efficient & reliable day-to-day ops. support. Prepare, maintain & update SOPs, technical docs. & ensure OAA process integrity.



Qualifications

A Bachelor's Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required. The candidate must be detail-oriented, possess excellent organizational and communication skills (verbal and written), have significant experience with data entry, analysis and management, have the ability to effectively multi-task, and be self-motivated with the ability to meet strict deadlines. Expertise with Microsoft Office, particularly with design of Excel macros, proficiency with Adobe Suite and experience with multiple educational technology platforms and databases is required. Experience in event and/or classroom scheduling in an academic environment preferred. Proven customer service track record. Must be able to work with broad constituency within and outside Penn Dental Medicine while maintaining compliance and consistency with policies and procedure. Must possess the ability to identify, understand, and solve diverse problems.
